The admissions journey

How a Dubai family chooses a school, and where the website loses them

Choosing a school in Dubai is a long decision, usually shared by more than one family member and sometimes made from another country before they relocate. The website is visited again and again across that decision, and each visit has a different question. Structure the site around those questions and admissions gets fewer repeat calls.

  1. Shortlisting

Parents compare curriculum, location, inspection rating and fees. If any of those takes more than a click to find, the school drops off a shortlist it never knew it was on.

  2. Checking the fit

Next come class sizes, languages taught, learning support, transport routes and what a normal day looks like. Real photography of your own campus does far more here than stock images of children in a generic classroom.

  3. Booking a tour

A tour form that asks for year group, campus and start date, and offers WhatsApp for parents who would rather message than fill in fields.

  4. Applying

A clear list of documents, deadlines and the assessment process, with a link straight into your registration system.

  5. Joining

Once a child is enrolled the same website becomes a reference for calendars, uniform, policies and contacts, which is where many school sites quietly go out of date.

Inspection context

Presenting your KHDA rating honestly

KHDA, which regulates private education in Dubai, publishes inspection reports from its Dubai Schools Inspection Bureau. Those reports judge schools on a six point scale: Outstanding, Very good, Good, Acceptable, Weak and Very weak.

What the scale means to parents

In the published report, Good is described as the expected level for every school in the UAE and Acceptable as the minimum level. Parents who know that read a rating with more nuance than a single word suggests, so the page should explain it too.

Link to the source

Rather than a badge alone, we design a short section that states the rating, the inspection year and links to the published report. A rating that can be checked is more persuasive than one that simply sits in the header.

Keep it current

An old rating left on the homepage after a new inspection causes awkward questions at open days. The rating lives in one CMS field used across the site, so changing it once updates every page.

Beyond the rating

Inspection reports also cover areas such as teaching and assessment, curriculum, and the protection, care and support of students. Pages about those areas can show evidence from your own school life, written by us with your leadership team, never invented.

How a school refers to its inspection outcome is your leadership’s decision. Check any KHDA guidance that applies to your school before publishing.

Multiple campuses

One institution, many audiences, several campuses

Diyafah International School is one of Dubai’s most diverse schools, with more than 2,400 students from over 40 nationalities across multiple campuses. Students, parents and staff are spread across those campuses, so the website had to work as the connective tissue for the whole institution rather than as a brochure for one building.

That meant thinking about audiences before pages. A prospective parent, a current parent looking for the term calendar and a teacher applying for a job all arrive at the same homepage and need three different next steps.

Who the site serves

Four audiences on every school website in the UAE

Prospective parents

Curriculum, fees, inspection context, tours and the application steps, in English and Arabic.

Current parents

Term dates, events, uniform, transport, policies and a clear route into the parent portal you already use.

Students

Clubs, trips, results days and the achievements the school is proud of, updated by staff rather than waiting for an agency.

Teachers applying

A careers page that shows the culture, explains how to apply from abroad and routes applications to the right person.

The school year

Keeping a school website accurate through the whole academic year

School websites rarely fail at launch. They fail in the second term, when the calendar still shows last year’s dates and the news page stopped at sports day. The fix is deciding who owns each recurring update and making that update small. Dubai schools follow different curricula and academic calendars, so the owners and timings below are a starting point to adjust, not a rule.

Recurring updateUsually owned byHow the build makes it easy
Term dates and eventsSchool officeOne calendar entered once, shown on campus pages and the homepage, with past events hiding themselves
Admissions status by year groupAdmissions teamA simple open, waiting list or full setting per year group and campus, shown beside the tour form
News and achievementsMarketing or a named teacherA news template that needs a title, photo and a few lines, with approval before publishing
Policies and lettersPrincipal’s officeDocuments uploaded to one library and linked, so the old version is replaced everywhere
Inspection ratingLeadershipA single field and report link updated after each inspection

Handover includes training for each of these roles plus a recorded walkthrough, so a new office manager in January can pick up the calendar without calling us.

Scoping checklist

Questions to settle before a school website project

  • Which campuses need their own section, and what differs between them?
  • Which systems stay: admissions, registration, parent portal, payments?
  • Who owns the calendar, and how often does it change during term?
  • Who writes news, and who approves it before it is published?
  • How will you present your inspection rating and link to the report?
  • What consent does the school hold for photos of students?
  • Which languages do your parent communities need?

Photos of children and admissions forms both involve personal data, so the site’s privacy policy and consent wording matter more than on most business sites. Our PDPL website privacy checklist covers the website side, and the bilingual website guide explains what proper Arabic support involves. Most schools start with our website design service; if the current site mostly needs structure and speed, look at a website redesign. Schools with registration or portal integrations may need custom web development.

Straight answers

Frequently asked questions

Should our KHDA inspection rating be on the website?

Parents in Dubai look for it, and KHDA publishes inspection reports that judge schools on a six point scale from Outstanding to Very weak. Whether and how you display your rating is a decision for your leadership team; we design a place for it and for a link to the published report.

Can the website handle admissions enquiries and tour bookings?

Yes. Enquiry and tour forms ask for year group, campus and preferred start date, then send the family to your admissions team or registration system with the source recorded. We can also connect an existing admissions platform rather than replacing it.

We have more than one campus. One site or several?

Usually one site with a clear campus section, so the school brand, admissions process and news are shared while fees, curriculum, transport and contacts sit on each campus page. We work through the choice with you during Discovery.

Can teachers and office staff update the site?

Yes. The CMS gives admissions, marketing and campus office staff their own permissions, so news, calendars and events can be updated without affecting other pages. Handover includes training and a recorded walkthrough for new staff.

Do you build Arabic school websites?

Yes. Fully bilingual Arabic and English with proper right to left layout, including forms and the calendar, so Arabic speaking parents get the same information at the same time.
